Welcome & Agenda
Callum (commercial lead) set the scene: Helm and Voila have rolled out a raft of new features, and peak season is the time to put them to the test. Adam led the demo, focusing on practical changes that help brands optimise for volume and complexity.
Auto-Pick Creation (Helm 3.6)
Adam showed the Auto-Pick plugin in action. Instead of manually filtering and creating picks each day, you can set up profiles and schedules to automate the lot. Profiles can be tailored by warehouse, order type (single/multi), and even tagged for priority. Time-restricted picks let you control when picks are created: say, not on weekends, or only at certain times.
If there’s a stock allocation issue, orders are flagged with custom statuses for quick troubleshooting. Bulk, order-by-order, and totes options are all supported, and you can default the number of totes per pick run.
Stock Management: Warnings, Replenishment, Transfers
The new stock features allow you to set warning limits globally or by location, triggering replenishments from bulk to pick faces. If you run multiple warehouses, you can now transfer stock between them, with clear status tracking (shipped, pending, delivered). Creating a transfer is as simple as picking source and destination, adding products, and marking progress with a click.
Stock Takes: Scheduling & Jobs
Stock takes can be scheduled (one-off, daily, weekly, monthly), by zone, location, or product. Tolerance levels can be set as values or percentages. Once a count is done, discrepancies between system and physical counts are reported, along with who counted what.
Post-Purchase Communications (Voila)
Voila now integrates tracking dashboards, showing at-a-glance delivery performance, late deliveries, exceptions, and a UK heatmap for order volumes. Brands can use this data for marketing and operational tweaks.
Notification triggers can be set for every delivery event (booked, collected, in transit, out for delivery, delivered) with fully customisable email templates, including marketing offers. These notifications keep customers informed and reduce WISMO queries, especially during peak.
Returns Manager & Portal
The new returns portal is fully brandable, lets you connect couriers and sales channels, and gives you a dashboard for live order and return data. Returns can be processed by item and quantity, with reasons, images, and additional info fields. Paid and free returns are supported (Stripe integration for payments).
Brands can set return windows, connect sales channels, and trigger webhooks for ERP/CRM integration. Courier and shipping rules can be configured so customers see the right options for their order.
Branded Tracking Portals & Hey Voila (AI ChatBot)
Voila’s new builder lets you create branded tracking portals with custom domains, meta tags, and design assets. You can publish instantly on a subdomain or your own.
The AI-powered chatbot bot (Hey Voila) can be embedded as a widget or iframe, answering customer queries using live tracking data and uploaded documentation (returns, delivery info). It’s fully brandable and can be your first line of support during peak.
